    POSITION JUSTIFICATION

     

    With a $2.3M physical plant, a staff of twenty people, reserves of $9M and an operating budget of $6M, Academy finances, IT and facility must be assigned to a director with the responsible for strategically positioning the organization to serve members in times of uncertainty.

     

    EXPECTED IMPACT ON THE ORGANIZATION

     

    Data-driven budgeting, forecasting, and reporting provides the information upon which major strategic and decisions must be made.  Strategic supervision and working knowledge of IT is key to the future of AACD. Budgeting for compensation and benefits is critical to maintaining staff. Carrying out a board-approved investment strategy assures the organization of having sufficient "rainy day" funds.  This position impacts the viability of the organization in the marketplace.

     

    SUMMARY OF RESPONSIBILITIES

    The primary purpose of this role is threefold:

    1. To ensure that the American Academy of Cosmetic Dentistry and its subsidiaries operate smoothly and effectively, and in compliance with 501(c) regulations and generally-accepted standards. 
    2. To ensure current and future needs of members and staff for web (including purchases), database (including CE, Accreditation and demographic data), and targeted service are secure and efficient.
    3. Providing leadership and skill development for a staff responsible for finance, IT, and the facility.

    SPECIFIC RESPONSIBILITIES

     

    • Take a leadership role in the establishment of organizational performance indicators, and monitoring of performance against goals.
    • Develop and administer financial systems and effective internal controls including budget setting and tracking, expenditure approvals processes, record-keeping and reporting, and the preparation of accurate and timely monthly financial statements. Assure safeguarding of assets. Lead capital planning and budgetary activities. Ensure preparation for annual financial audit. Review all receipts and disbursements.   Review/strengthen internal accounting systems and protocols.   Ensure all federal, state and local laws, regulations and financial requirements are met, including Sarbanes Oxley and audit functions.
    • Monitor contracts and associated billings.
    • Function as the Director of Information Technology in managing the information systems solution to ensure an environment where the information systems are the source for accurate and timely data utilized by the membership, the public, the staff and the leadership for the success of the association.
    • Analyze the current technology infrastructure and financial systems that support key organizational programs and functions. Keep abreast of the latest and the advanced technologies in its operational fields.
    • Direct supervision of four staff members.

     

    • Advises management in appropriate resolution of employee relations issues regarding salary.
    • Investigates accidents and prepares reports for insurance carrier.
    • Oversees management of the facility, handled by Information Systems Mananger

     

    PREFERRED SKILLS AND ABILITIES

    • Bachelor's degree required, MBA desirable or equivalent experience. Professional designations in finance or IT would be highly advantageous
    • Minimum of five years supervisory experience required. Non-profit or related business experience a plus.
    • Entrepreneurial propensity for developing and managing business operations with a strong profit and loss orientation
    • Skilled ability to provide business needs analysis and strategic planning with senior leaders
    • Experience in financial analysis or forecasting. Currently using Great Plains for reporting.
    • IT experience. iMIS or other association management systems experience a plus.
    • Proficient in business planning that results in maximized return on investments
    • Hands-on management style with a take-charge attitude tempered with diplomacy
    • Must be results driven, timely, team-oriented and individual/organizational capacity builder
    • Excellent communication and interpersonal skill.
    • Talent for initiating and sustaining internal and external cooperative work relationships
    • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
    • Travel required – 10%
